Job Description

The Office Manager is responsible for leading, developing, and managing the Administrative Team with the objective to grow revenue through client acquisition, client and employee retention. This role is required to function as a manager and leader in developing people and delivering consistent processes to support the Agency. The Office Manager is responsible for development, implementation, and delivery of processes of the areas Administrative, Compliance, Service and Human Resources.

Key Responsibilities

  • Develop, manage, and maintain strong relationships with key business partners both internal and external.
  • Over sees the delivery of the client experience to meet Agency expectations.
  • Designs and implements policies and procedures for the functions managed and participate with other areas in developing and establishing company-wide or area-specific policies and processes across all areas including Administrative, Compliance, Sales, Service and Human Resources.
  • Identify Administrative inefficiencies and implement strategic and tactical solutions including developing job description for appropriate solutions as needed.
  • Responsible for leading the office management process and guiding change.
  • Lead and contribute to strategic projects that drive the direction of the team, and individual Departments.
  • Responsible for developing and managing reporting data structure and process; develops business case to support changes in delivery and services in order to increase revenue.
  • Monitor and control expenses to optimize efficiency and profitability.
  • Responsible for maintaining office equipment, ordering supplies, and negotiating contracts with existing vendors.
  • Human Resources Management – Payroll, approve & monitor PTO, onboard new employees, manage employee birthdays and other recognition.
  • Bookkeeping - QuickBooks Entries, pay invoices, deposit checks, prepare budget and financial reports as needed.
  • Ensures compliance with regulatory requirements; manages risk and audit practices within parameters of organizational expectations.
  • Executes against work plans that build efficiencies and accuracy and enhances the overall work environment.

Required Experience

  • Highly developed communication skills. Ability to give persuasive presentations to coworkers and groups, ability to negotiate complex matters.
  • Ability to learn and become familiar with the comprehensive planning process.
  • Past history of setting up processes, guiding change and a commitment to a long-term vision.
  • Quick Books proficiency is preferred.
  • Website and social media experience not required but would be helpful.
  • Associate degree and two years of related experience is preferred.

Description for Client Services Representative – Part Time

Primary Duties and Responsibilities

  • Account Maintenance - Client personal information changes; name, address, phone number, email
  • Account Service - Broker/Dealer updates, Beneficiary changes
  • Client Database - Make updates, enter new client info, reconcile information with Lincoln Approval letters.
  • Client Services - Maintain Shared Drive Folders, file client paperwork, account statements, etc.
  • New Business - Process and monitor through the UAO, Firelight and monitor ABGA Life Insurance.
  • New Business Administrative Support - scan and/or copy account applications and forward to appropriate party, expedite applications and correct applications and resubmit when necessary.
  • Maintain Agency Integrator Data Base
  • General Office Duties - Backup front reception area, answer phone, assist staff as needed, scan and fax documents, send mail, maintain kitchen.

*Must be proficient with Word, Excel and able to quickly pick up new software as almost all communication and processing is digital.

Position Type and Expected Hours of Work
This is a part time position with hours to be determined between 20-30 hours.

Supervisory Responsibility
This position has no supervisory responsibilities, but there is opportunity for advancement.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets and fax machines.

Physical Demands
Filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

 

Required Education and Experience
High school diploma and one year of administrative experience is required.

Preferred Education and Experience
Associate degree and two years of related experience is preferred.

Work Authorization/Security Clearance
Full background check is conducted, including credit report and fingerprinting. Must be eligible for SEC clearance.
